Bringing Order to How Organisations Handle Their Documents

We started Veridex because too many internal teams were drafting from scratch every time — losing hours to repetitive formatting, inconsistent clause structures, and documents filed in ways no one could later find.

Our Story

How Veridex Came Together

Veridex was established in Kuala Lumpur by a small group of operations and information management professionals who had spent years watching the same problem repeat itself: growing Malaysian businesses handled their internal documentation informally, building knowledge in people's heads rather than in structured, reusable formats.

When staff left, so did the knowledge. When the organisation scaled, no one could remember which version of the vendor agreement was current, or whether HR's onboarding checklist had been updated after the last policy change. The problem was not that people were careless — it was that no one had given them the structural tools to do it differently.

We built Veridex to fill that gap. Our programmes sit in a specific lane: we produce reference-quality document templates and teach operational staff how to draft plainly, version thoughtfully, and file in ways a team can actually navigate. We are not a law firm, not a managed services provider, and not a software platform. We are a documentation practice built for the people who maintain the day-to-day administrative backbone of a business.

Our Mission

To give operations teams in Malaysia the structural tools and working vocabulary they need to produce, organise, and maintain internal business documents with greater consistency — reducing the reliance on institutional memory and the risks that come with it.

What We Stand For

Clarity over complexity. Plain language over jargon. Structure that serves the reader, not the drafter. We believe that a well-organised document library is a form of organisational infrastructure — as foundational as a good filing system or a reliable accounting process.

Our Approach

Each Veridex programme is scoped to a specific organisational need — a subscription library for daily reference, a workshop series for skill-building, or a consulting engagement for systemic change. We do not sell one-size-fits-all solutions, and we do not overlap with the work of legal or compliance advisors.

Standards & Practices

How We Maintain Quality Across Every Programme

Quarterly Content Review

All template library content is reviewed on a quarterly schedule. Where general operational practice shifts, templates and clause notes are updated before the next subscriber refresh cycle.

Data Handling & Privacy

Client organisation information shared during consulting engagements is handled under a non-disclosure framework. We do not share, repurpose, or reference client-specific document inventory details in other engagements.

Structured Taxonomy Standards

All templates follow a consistent internal taxonomy built around document family, version state, and department applicability. This structure is documented and explained during onboarding orientation.

Plain-Language Editorial Standard

Every template and workshop material is reviewed against a plain-language checklist before release. Technical terms are explained in-line; no document assumes a specialised reader unless explicitly scoped for one.

Engagement Scoping Agreement

For consulting engagements, scope, deliverables, and timeline are agreed in writing before work begins. Changes to scope are documented and acknowledged by both parties before any additional work proceeds.

Scope Boundaries Maintained

Veridex materials are general operational reference tools. We do not provide regulated professional advice. All programme materials include a reminder that finalised documents should be reviewed by the client's qualified advisors.

Business Document Infrastructure for Malaysian Organisations

Across Malaysia's mid-market and growing SME landscape, operations teams often carry the weight of internal documentation without a formal framework to support them. HR managers juggle multiple versions of the same policy document. Procurement leads work from contracts drafted years ago that no one has reviewed since. Administrative staff build their own filing conventions, which means the next person in the role starts from scratch.

Veridex addresses this at the structural level. Our Standard Document Template Library gives teams a consistent, well-organised starting point for the documents they handle regularly — vendor agreements, internal policies, scope-of-work documents, and operational checklists. The templates are editable, clearly structured, and accompanied by clause notes written in plain English for non-specialist readers.

For teams who want to build stronger drafting habits, our Document Drafting Workshop Series delivers practical, in-house training grounded in plain-language principles and real operational scenarios. Over four sessions, participants develop a portable framework they can apply to any business document they encounter day-to-day.

Larger organisations with more complex documentation environments can engage Veridex for an Enterprise Knowledge Base Build-Out — a structured consulting process that maps existing document inventory, designs a workable taxonomy, identifies gaps, and delivers a populated template scaffold ready for internal deployment.

Veridex operates from Level 18, Menara Maxis in Kuala Lumpur, and works with client organisations across the Klang Valley and broader Malaysia. All programmes are delivered in English, with Bahasa Malaysia discussions available on request for consulting engagements.
